Zoom Rooms

We are moving to Zoom Rooms as our standard for collaboration technology, replacing existing Cisco hardware and software in classrooms, conference rooms, and event spaces to fully integrate with the Zoom platform.

GW IT will manage the transition to Zoom Rooms for existing IT supported spaces. New spaces will be coordinated separately from the Zoom Room initiative.

What is a Zoom Room? 

Zoom Rooms streamline meetings in classrooms, conference rooms, and event spaces by simplifying audio, screen sharing, and video conferencing. Starting scheduled Zoom meetings and connecting participants is as easy as pressing a button.

Status & Timeline

Building on the success of our Zoom Rooms pilot, the campus-wide rollout will feature standardized setups to accommodate various room sizes and use cases. We've established standard packages focusing on different types of uses for conference room spaces. This standardization ensures a consistent and user-friendly experience for presentations, collaboration, and hybrid learning, while also simplifying implementation and support.

We are currently in the early stages of planning an effort to transition roughly 200 conference rooms across GW, with several early adopter locations already utilizing the technology and providing valuable feedback. We anticipate beginning the Zoom Rooms transition this fall, with the implementation in classrooms starting in summer 2026. We are working closely with our campus partners in administrative and academic units to carefully coordinate these implementations to minimize disruption.
