Modernizing Sponsored User Access
GW IT is introducing a new process for requesting and managing sponsored user accounts. Sponsored users, formerly referred to as affiliates, are individuals with a legitimate and verifiable affiliation with GW who are not current students, faculty, or staff. Examples include visiting scholars who are not employees, select contractors, and other approved university partners.
Sponsored user access, currently managed across multiple systems and processes, will be consolidated into a centralized platform that will go live at the same time as the Banner Modernization initiative. This change creates a simpler, more consistent experience for both sponsors and sponsored users by bringing requests, approvals, and access management into one place. The platform also enables Role-Based Access Control (RBAC), which provides access based on defined roles and responsibilities. By using standardized access levels aligned with common business needs, sponsored users can receive appropriate access more quickly and consistently while simplifying access management for sponsors.
What’s Changing
- Requests will be submitted through a centralized platform: Sponsors will request sponsored user access through a guided online process with standardized forms and predefined options, making requests easier to complete and track.
- Standard access levels: Sponsors will select from predefined access levels aligned to common business needs and supported through role-based access controls (RBAC). This helps sponsored users get the right access faster, improves consistency across departments, and reduces delays and complexity.
- Automated provisioning and notifications: Once approved, automated workflows manage account creation, access assignment, and notifications to both sponsors and sponsored users, reducing manual processes.
- Time-bound access: Access is granted for a defined period based on business need and automatically expires at the end of the sponsorship period, helping ensure accounts remain current and appropriately managed.
Who Can Sponsor a User?
Sponsored users must be sponsored by an active GW faculty or staff member at the department head, manager, or higher level.
Sponsors are responsible for ensuring the sponsored user's access remains appropriate throughout the sponsorship period and for requesting extensions when continued access is required.
