Event organizers should complete the Event Request form at least two weeks in advance to ensure technical support for your event. All other requests are handled on a case-by-case basis, and support will be provided as resources allow.
For event-related inquiries such as room reservations, furniture setup, and catering, please contact the relevant venue manager.
Features
GW IT provides technical support for events that require AV equipment in spaces listed in the Classroom Search website. This service is available weekdays between 8:00 am and 8:00 pm and by prior arrangement only.
This service includes:
- Equipment setup:GW IT will test the equipment functionality at least 15 minutes before the event. When appropriate, trained staff will remain available for up to 15 minutes at the start of the event to ensure the technology is functioning as expected.
- Training: GW IT is available to provide on-site technology training to event organizers prior to the event. Time for training is organized between IT staff and event organizers based on schedules and space availability. Pre-event walk-throughs are strongly encouraged.
- On-site support: During normal business hours, GW IT will dispatch support personnel to the event locations as needed to resolve technology issues. Event organizers must contact GW IT at (202) 994-7900 to request immediate dispatch support. Weekend on-site support is not included in this service.
- Virtual Event Support: GW IT provides training to event organizers on how to use web conference tools. It is the responsibility of event organizers to schedule, distribute and moderate webinars for event attendees. Temporary webinar licenses may be granted with advanced notice. - Event Locations: Event organizers may review the technical capabilities of event spaces by visiting the Classroom Search website. This site will include pictures, location, and technology capabilities.
Note: This service does not include setup or integration of event organizer or third-party technology with GW IT equipment. GW IT is not responsible for ensuring event organizer or third-party technology is operational or compatible with GW IT equipment.
